ADMIN ASST - US Job Scope Provides administrative and clerical support to a dynamic and energized R&D focused site. Activities include general administrative support to multiple departments including R&D, Quality Assurance, and Facilities. Work on various projects with senior staff will be required. Responsibilities span office operations, basic IT support, permits management, lab and general supply orders, and facility management. Additionally, this role includes managing meetings and providing executive support to ensure seamless organizational functionality.

Key Duties and Responsibilities

  • Oversee daily office operations, ensuring an efficient and organized work environment.
  • Manage office supplies, equipment, and resources to support staff needs.
  • Provide basic IT support, including troubleshooting hardware and software issues.
  • Coordinate with corporate IT for complex technical solutions and support.
  • Coordinate and manage the ordering and inventory of lab and general supplies
  • Manage the receipt and proper documentation of biohazard materials
  • Ensure compliance with applicable regulatory requirements, maintaining necessary permits and certifications
  • Oversee the maintenance and upkeep of the facility, including managing service contracts and coordinating with external vendors.
  • Coordinate laboratory waste disposal schedule with vendor.
  • Schedule, organize, and manage logistics for internal and external meetings.
  • Provide administrative support to local directors and visiting executives, including calendar management, travel arrangements, and correspondence.
  • Serve as point of contact for executive assistants at other Diasorin and Luminex sites - coordinate calendars & schedules.
  • Manage including luncheons, all employee meetings, and special events
  • Prepares slides, letters, memos as required.
  • File, fax and mail management.
  • Other duties as assigned.

Education, Experience, and Qualifications

  • High School Diploma with 4 years Administrative/Business experience - Required
  • Associates Degree with courses in business and/or administration - Desired
  • 2+ Years Proven experience in office management or a related roleRequired
  • 2+ Years Strong organizational, communication, and multitasking skills. Required
  • 2+ Years Familiarity with IT support and troubleshooting. Preferred
  • 2+ YearsKnowledge of regulatory requirements for biohazard materials.Preferred
  • 2+ Years Experience in facility management and vendor coordination. Preferred
  • 2+ YearsProven experience in office management or a related role Required
  • 2+ YearsStrong organizational, communication, and multitasking skills. Required
  • 2+ Years Familiarity with IT support and troubleshooting. Preferred
  • 2+ Years Knowledge of regulatory requirements for biohazard materials.Preferred
