Job Brief

MJE has an opportunity for an Administrative Assistant to join our Safety Department!

Position Purpose: To provide a wide variety of clerical and administrative support to the Safety Department

Essential Responsibilities

* Provide daily administrative and support to office and field personnel, including establishing work priorities and workflow.

* Carries out administrative duties such as communications, filing, printing, binding, scanning, material ordering and distribution.

* Maintain computer and manual filing systems; ensure the confidentiality and security of files

* Review and process department records, ensuring accurate and timely data entry

* Schedule meetings and prepare meeting minutes

* Assist with the development and implementation of reporting procedures, maintain office records

* Support aspects of the annual training requirements

* Ensure the execution of company policies and procedures

* Compile weekly/monthly reports, including training and assessment counts

* Responsible for servicing office equipment and maintaining inventory of office supplies

* Process and distribute internal and external mail and FedEx shipments

* Execute company document control procedures

* Extensive knowledge of general office procedures and practices

* Demonstrated multi-tasking, prioritizing, and data entry skills

* Detail-oriented and maintain a high level of accuracy

* Ability to anticipate and meet internal customer needs

* Ability to work independently and meet deadlines

* Proven communication, documentation, organizational, and interpersonal skills

* Excellent computer skills including familiarity with Microsoft Office

Qualifications

* High School Diploma or Equivalent (Education beyond High School preferred)

* 1-2 years of administrative and/or clerical support experience

Work Environment

* Must be able to remain in a stationary position over 50% of the time

* The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.

* Continuously operates a computer and other office productivity machinery, such as a calculator, copy machine, scanner, and computer printer

* The person in this position frequently communicates with employees and coworkers and must be able to exchange accurate information in these situations

* Occasionally lifting 20 pounds
