Position Overview:

The Administrative Assistant will play a pivotal role in supporting the firm's daily operations, focusing on account maintenance, documentation management, and custodian coordination. This individual will work closely with the operations and advisory teams to ensure smooth account handling and precise execution of service requests. The ideal candidate has previous experience in a wealth management setting and is skilled in managing administrative responsibilities efficiently.

Responsibilities:

  • Manage client account operations, including setup, maintenance, and transfers
  • Prepare, review, and process all servicing paperwork, ensuring compliance and accuracy
  • Liaise with custodians and manage relationships to facilitate account management and resolve issues
  • Organize and maintain client files and records, ensuring confidentiality and regulatory compliance
  • Assist with client communications, addressing inquiries, and providing general support to the wealth management team
  • Coordinate with team members to streamline workflows, maintain timelines, and meet client deadlines
  • Support ad-hoc administrative tasks and projects as needed to enhance team efficiency

Qualifications:

  • 2+ years of experience in an administrative role within a wealth management firm
  • Bachelor's degree
  • Strong knowledge of custodians, account operations, and servicing paperwork within a finance setting
  • Proficiency in MS Office Suite, with exceptional organizational skills and attention to detail
  • Excellent communication and interpersonal skills, with a client-focused approach
  • Ability to handle sensitive information with integrity and professionalism

The opportunity offers a competitive salary of $90k to $105k+ DOE with a strong bonus and a premier benefits plan.
