We are looking for an Administrative Assistant to join our team in a busy facial plastic surgery practice. This organized, thorough, and detail-oriented individual will be responsible for greeting patients, keeping track of office and clinic inventory, electronically filing, billing, and submitting paperwork in a timely manner, and taking lead on most administrative duties within the practice. This position requires excellent organizational skills, compassionate customer service, the ability to multitask, self-direct, and prioritize work, as well as a strong understanding of basic computer programs/apps (MS Word, Square, DocuSign, Scheduling and Financing Software, CRM, etc.) and phone, printer, and fax maintenance. Serving our spanish-speaking community is a priority for our practice, so conversational fluency in Spanish is a plus in this position.

Responsibilities:

  • Ensure that the clinic space is well-maintained, inviting, and running efficiently.
  • Greet visitors and check in patients in a friendly and professional manner.
  • Schedule appointments for patients and coordinate with the Patient Care Coordinator to maintain the appointment calendar.
  • Electronically maintain patient records, paperwork, billing, filing, and other confidential information including but not limited to patient invoices, patient labs, purchase receipts, and DocuSign forms.
  • Process payments for services rendered.
  • Provide administrative support to Dr. Davis and Medical Spa.
  • Understand basic medical terminology related to plastic surgery procedures.
  • Support our Patient Care Coordinator and Practice Manager.
  • Assist Practice Manager with marketing efforts as needed.
  • Assist with answering phones as needed.
  • Keep track of and maintain all office and clinic inventory.
  • Set up clinic rooms for upcoming clinic procedures.
  • Attend weekly meetings with the Patient Care Coordinator to go over the to-do list for upcoming patient surgeries.
  • Understand and maintain the office's HIPAA compliance.
  • Understand and maintain the office's OSHA compliance.

Job Type: Part-time (hourly) / 4-days per week

Schedule:

  • 8-hour shifts
  • Must be available to come into the office on Mondays and Fridays
