Position Summary:

The Administrative Assistant is responsible for providing comprehensive administrative support to the Senior Vice President, General Counsel by ensuring the efficient operation of the Legal Department. This role requires a high degree of professionalism, discretion, and organizational skills.

Essential Functions:

* Manages and maintains the SVP, General Counsel's calendar, including scheduling appointments, meetings, and travel arrangements

* Manages contract database

* Prepares and edits correspondence, reports, presentations, and legal documents

* Handles confidential and sensitive information with discretion

* Serves as the primary point of contact between the General Counsel and internal/external stakeholders

* Screens and directs incoming calls and emails; respond to inquiries as appropriate

* Drafts and distributes meeting agendas, minutes, and follow-up action items

* Organizes and maintains electronic and paper filing systems

* Assists in the preparation, review, and filing of legal documents and contracts

* Ensures all documentation complies with legal and company policies

* Coordinates and assists with special projects and initiatives as directed by leader

* Tracks project deadlines and ensure timely completion of tasks

* Monitors and orders office supplies for the Legal Department

* Coordinates department meetings, including logistics and catering arrangements

* Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies.

* Ensures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role

* Represents the company in a professional manner and uphold the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third parties

Qualifications:

* Associate's degree or equivalent; Bachelor's degree preferred

* Minimum of 3 years of administrative experience, preferably in a legal and/or medical device environment

* Strong organizational and multitasking abilities

* Excellent written and verbal communication skills

* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

* Ability to maintain confidentiality and exercise sound judgment

* Pennsylvania notary certification preferred

* Familiarity with legal terminology and processes preferred

* Ensures accuracy in all tasks

* Prioritizes tasks effectively to meet deadlines

* Demonstrates a high level of professionalism in all interactions

* Works collaboratively with others to achieve common goals

* Flexibility in working hours to accommodate the SVP, General Counsel's schedule

* Required to sit; climb or balance; and stoop, kneel, crouch or crawl

* Required to regularly lift and/or move up to 10 pounds, and occasionally lift and/or move up to 25 pounds

* Required to possess specific visons abilities, including: close vision, distance vision, color vision, peripheral vision, depth perception and capacity to adjust focus
