The City of Mason City is seeking a dedicated Administrative Assistant to support our team and help keep our operations running smoothly.As an Administrative Assistant, you will play a vital role in delivering exceptional service to the public while ensuring the efficient daily functioning of our Operations & Maintenance Department. Duties/Responsibilities
- Serves as the administrative assistant to the Public Works Director, performing routine and complex administrative duties, provides support to other departmental staff, and maintains confidentiality in the performance of duties.
- Receives the public by phone and in person; responds to inquiries from employees, citizens, and others, and refers, when necessary, to appropriate persons. May assist in radio communications. May assist with formal public communications on departmental projects or initiatives.
- Creates, updates, organizes and maintains variety of physical and electronic filing systems for the department and inputs data as needed, including vehicle files, mechanics repair orders, electrician project timekeeping, and chargebacks to various departments.
- Complete invoices for charges to property owners and businesses, such as tree work, barricades, and accident cleanup.
- Maintains departmental personnel records, completes necessary forms for review by supervisory staff and processes necessary changes, assists with payroll, and processes incoming mail.
- Maintains departmental calendars, organizes/schedules meetings, conferences, and special events, and may coordinate travel arrangements. May act as notetaker/secretary for regular or special project meetings.
Minimum Qualifications Education and Experience
- High school diploma or GED.
- Associates Degree or 60 hours of college level coursework.
- Two (2) years of experience working in an office environment.
- Equivalent education and experience.
- Proficiency in Microsoft Word and Excel, and ability to learn various proprietary software systems.
