- Prepare letters, PowerPoint presentations, minute/action item recording for departmental meetings, photocopying, courier packages, off-site filing and tracking, catering, ordering office and kitchen supplies; and work with other requests from staff/contractors and visitors to the department.
- Coordinate all department team-building activities and large on-site/off-site department functions.
- Provide administrative support for recruitment activities; responsible for providing on-boarding/off-boarding material to HR; act as liaison between HR and management and Supervisors when required.
- Liaise with other Region Admins for consistency/back-up, and on other projects as required.
- Provide support with expenses, travel booking and management, and department calendars for the manager, vacation/out of office, as well as other staffing reports as required.
- Enters all time coding into Workday for payroll processing. Assists Supervisors and HR with resolution of issues associated with timesheets.
- Train & provide orientation of new staff (employees, contractors/co-op students) on policies and procedures, department setup and structure, ELink usage, WorkDay, SharePoint, Oracle, Markview, travel and credit card policies; to include the rollout of new programs.
- Responsible for invoice Coding and Minor Operating Budget maintenance.
- Maintain office equipment and material orders, generate and coordinate the work order process and assist as required in emergency response situations. Who you are:
- You have a High School diploma with at least one year of experience in progressively responsible secretarial and administrative support roles, preferably supplemented by continuing education courses.
- You have exceptional interpersonal, organizational and communication skills with the desire to continuously learn, with the initiative to take on evolving and more challenging tasks.
- You have strong computer skills with proven proficiency in all MS Office Products and Visio Software. Working Conditions:
