Job Description: Our client is seeking an experienced Administrative Assistant to provide comprehensive support to our Sales Team. This role involves managing logistics from order through delivery, ensuring excellent customer service, and performing various administrative tasks.
Key Responsibilities:
+ Provide administrative support to the Sales Team.
+ Communicate with customers, warehouse personnel, freight carriers, and other parties via phone and email.
+ Receive and enter orders in Accounting Software.
+ Notify the warehouse of orders and confirm with customers.
+ Select appropriate carriers for deliveries and manage scheduling.
+ Serve as a backup for general administrative duties such as printing Bills of Lading (BOLs), invoicing, creating shipping labels, matching inventory reports, and filing.
+ Process all Accounts Receivable deductions, billbacks, and invoice adjustments.
+ Maintain the manual Purchase Order system and manage related email communications.
+ Follow up on past due Accounts Receivable accounts to ensure timely payments.
+ Process new customer credit applications and manage contract pricing in Syspro.
+ Backup for processing vendor check/ACH payment runs and posting AP.

Work Environment:
+ Reports to the Director of Accounting and Administration, as well as the VP.
+ Business-casual office environment with jeans allowed.
+ Fully on-site, Monday to Friday, with flexible 8-hour shifts within core hours of 8 AM to 5 PM.

Pay and Benefits
The pay range for this position is $18.75 - $19.23
