The Sisters of Charity Foundation of South Carolina is recruiting for a full-time Administrative Assistant.Job SummaryThe Foundation Administrative Assistant plays a vital role in supporting the President, the Foundation team, and board of trustees. This position requires someone who is collaborative, mission-driven, proactive, adaptable, and detail-oriented. Embracing our values of diversity, equity, inclusion, and belonging is paramount. The Administrative Assistant ensures the smooth daily operation of the Foundation and helps the team achieve its goals by providing administrative and executive support.The Foundation uses the Entrepreneurial Operating System (EOS) for internal operations, which includes weekly scorecard tracking, quarterly priorities, and annual goals aligned with our 10-year vision.Primary ResponsibilitiesAdministrative Support
  • Manage the President's calendar and schedule meetings, ensuring alignment with key priorities.
  • Assist the President in preparing for meetings and events.
  • Collaborate with the Chief of Staff and President to execute Board of Trustees activities and engagement efforts to include logistical support for quarterly meetings.
  • Support the Grantmaking team with administrative duties as needed.
  • Assist the External Engagement and Mission and Values teams with committee meetings to include scheduling, meeting attendance, and report preparation.
  • Assist in the planning and coordination of foundation led external meetings, including securing space, scheduling, preparing materials, and managing logistics.
  • Create presentations and materials using PowerPoint or Canva when requested.
  • Manage the Board of Trustees portal and update committee documents.
Office Management
  • Serve as the point of contact for IT contractors and coordinate troubleshooting and maintenance.
  • Manage facility reservations for the Education Center and Sr. Mary Jacob Conference Room.
  • Greet and assist guests at the Foundation.
  • Support general office operations and ensure a well-organized work environment.
  • Manage incoming calls, emails, and correspondence promptly and professionally and assist with Foundation mailings as needed.
  • Coordinate office supplies, equipment, and facility maintenance.
Qualifications and Requirements
  • Associate's degree and 2-4 years of administrative experience in nonprofit or related field, or 4-6 years of equivalent experience.
  • Strong writing, editing, and oral communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and comfort with database systems.
  • Excellent organizational and analytical skills with attention to detail.
  • Ability to prioritize, multitask, and complete tasks independently or as part of a team.
  • Ability to think creatively and solve problems.
  • Discretion in handling confidential information.
  • Strong interpersonal skills and willingness to work with diverse stakeholders.
