The Axel Group is seeking a highly organized and proficient Administrative Assistant to support a dynamic 100-person engineering firm. The ideal candidate will be skilled in Excel, have experience managing teams, and be capable of handling a wide range of administrative duties, including scheduling, calendar management, and general office operations.
Responsibilities:
- Coordinate and maintain executives' schedules, including meetings, travel, and events.
- Assist in managing a small team of administrative staff, ensuring smooth daily operations.
- Oversee general office management duties, including office supplies, equipment, and vendor coordination.
- Create, manage, and analyze data in Excel spreadsheets for reporting, tracking, and project support.
- Handle phone calls, emails, and internal communications with professionalism and efficiency.
- Prepare and maintain documentation, reports, and presentations as needed.
- Organize meetings, conferences, and company events, ensuring logistics and resources are in place.
- Provide support across various departments as needed, from filing to assisting with project coordination.
Qualifications:
- Proven experience as an administrative assistant, office manager, or similar role in a fast-paced environment.
- Proficiency in Microsoft Excel.
- Experience managing or supervising a team.
- Excellent organizational and time-management skills.
- Strong communication skills, both written and verbal.
- Ability to prioritize and manage multiple tasks effectively.
- Familiarity with office management procedures and office software (Microsoft Office Suite).
- A proactive, adaptable, and resourceful approach to problem-solving.
- Previous experience in an engineering or technical environment is a plus.
