NYC-based hedge fund is seeking a detail-oriented, organized, and self-motivated Administrative Assistant who will be assisting the Chief Operating Officer and Office Manager. The ideal candidate is a meticulous, resourceful, effective communicator with the ability to work well in a high paced environment, meet deadlines, and manage tasks. Time management, strong communication, and organizational skills are essential to this role.
Responsibilities
• Meet and greet investors and guests
• Assist with office management and office maintenance (including stocking, ordering, inventory, invoice reconciliation, etc.)
• Assist Office Manager with budget management
• Manage catering and office events
• Maintain conference room calendar
• Mange office relationship for other office locations
• Book travel arrangements including flight, hotel and ground transportation
• Scheduling meetings and conferences
• Calendar management and phone support
Qualifications:
• Bachelor's degree required
• 0-2 years of experience with executive support or office management
• Experience with Microsoft Office (i.e. Outlook, Word and Excel) and Zoom required
• Strong work ethic and the ability to maintain a positive attitude under pressure
• Outstanding communication and organizational skills
• Trustworthy and maturity to maintain confidential information
• Self-starter with team player attitude, who can multi-task and work well independently in a fast-paced environment
