Job Title: Administrative Assistant 3
Job Summary:
We are seeking a highly skilled Administrative Assistant 3 to provide advanced administrative and clerical support to the Procurement Department. This role requires independent decision-making in planning, organizing, and scheduling tasks while supporting the daily operations of a team of four. The ideal candidate will possess expertise in administrative functions and contribute to the overall efficiency of the department.
Key Responsibilities:
- Make independent decisions regarding the planning, organizing, and scheduling of complex administrative support tasks.
- Coordinate, integrate, and implement assigned administrative or staff functions.
- Provide guidance, assistance, and training to lower-level employees as needed.
- Solicit, collect, and organize documentation and data, performing moderately complex data entry into one or more systems.
- Apply detailed knowledge of departmental operations, policies, and procedures to carry out administrative processes.
- Address complex clerical, administrative, technical, or customer support issues with minimal supervision, escalating only the most intricate issues to appropriate staff.
- Handle payment detail inquiries from vendors and assist with resolutions.
- Perform additional duties as assigned.
Minimum Qualifications:
- High school diploma, secondary education level, or equivalent.
- Four years of related work experience.
- 10-key data entry experience.
- 2-3 years of office support experience.
- Experience in administrative support.
Preferred Qualifications:
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- SAP experience is highly beneficial.
- Experience resolving payment detail inquiries from vendors.
