Responsibilities
Maintain and review with the team leader the unit budget for operation of the CAT facility and assure that all purchases of supplies and equipment remain within that budget
Assist nurses in ordering medication for participants from pharmacies according to state purchasing regulations
Record agency and program admissions and discharges according to procedure
Complete monthly report data and submit to Team Leader/Director as requested
Maintain CAT participant charts according to the CAT contract and any certifying bodies, including the following:
set up charts for newly admitted youth;
file materials in charts and files to assure current, accurate information is available;
monitor CAT clinical charts in coordination with the team leader, to assure that they are being maintained in accordance with unit policies and procedures;
Inform and consult with CAT staff for the proper maintenance of CAT clinical charts and conduct in-service training for CAT staff regarding clinical charting requirements;
Manage the Database and network in collaboration with the software vendor and the IT department
Update and maintain a policies and procedure manual to assure that current and accurate information is available to staff
Type letters, memos, and reports using word processing equipment including letters to request medical records and participant authorizations, maintaining log of requests and records received
Sort, route, and prioritize incoming mail with distribution to appropriate staff
Greet people at CAT headquarters and answer telephone calls including performing the following:
triage and coordinate communication between the team and youth and family;
get answers to questions for youth, families, community resources, and agencies;
work with callers to relieve urgent situations or to temporarily manage them until other staff are available;
attend to any youth and family who come into the CAT office for appointments with staff;;
decide when and how quickly to refer calls to other staff
Manage and operate the system to document all cash and check transactions with receipts signed by participants upon disbursement.
Monitor the monthly staff on call schedule and assist in scheduling if requested
Undertakes other duties such as banking, credit control or payroll functions as assigned
Provides backup coverage for other secretarial staff as needed
Assists with special projects as needed
Qualifications
High school diploma or GED
Minimum of one (1) year Program Assistant or Program Assistant experience; preferably in a health care setting
Strong organizational skills
Ability to communicate with culturally diverse groups and individuals
Demonstrates proficiency in verbal and written communication skills
