Job Overview

We are seeking a motivated and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation of our office. This role requires strong organizational skills, effective communication, and a proactive approach to problem-solving. As an Administrative Assistant, you will be responsible for managing various administrative tasks, leading marketing efforts, assisting with customer service inquiries and maintaining office efficiency.

Responsibilities

  • Perform clerical duties including data entry and document management.
  • Provide exceptional customer service by addressing inquiries and resolving issues promptly.
  • Assist in scheduling appointments and coordinating meetings for Principals.
  • Operate phone systems to handle incoming calls and direct them appropriately.
  • Support office management by maintaining organized records and ensuring compliance with company policies.
  • Prepare reports and presentations as needed for internal meetings or client interactions.
  • Serve as a personal assistant to executives or team leaders, managing their schedules and travel arrangements.
  • Lead LinkedIn and Email marketing efforts.

Qualifications

  • Proven experience in an administrative or clerical role is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills are essential for customer support interactions.
  • Proficiency in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint), Canva, Google Suite.
  • Familiarity with office management procedures and phone systems (Zoom Phone) is a plus.
  • A proactive attitude with strong problem-solving abilities is highly desirable.
  • Ability to work independently as well as part of a team in a fast-paced environment.
