Duties: As a Administrative Assistant, Employee shall perform the following duties and obligations as part of Employees employment:a) Providing comprehensive support to the Foundations to Freedoms team.b) Support, coordinate and maintain the operational aspects of the office, ensuring that the office is run in an efficient, responsive, and accurate manner.c) Coordinate logistics for board meetings, special events, lunches and/or dinners, as well as the Executive Directors daily calendar of activities.d) Ensure a bridge for smooth communication between the Foundations staff that fosters credibility, trust, and support among the team members.e) Work closely with the Executive Assistant to keep her well informed of upcoming commitments and responsibilities, following up appropriately.f) Proactively manage complex and busy calendars with attention to accuracy and detail including scheduling and coordinating internal and external meetings, conferences, and appointments.g) Draft, finalize and disseminate professional correspondence, including, but not limited to, emails, memos, letters, policies, and contracts.h) Organize an annual reporting process for organizations receiving support.i) Coordinate travel, reconcile and process expense reports.j) Follow up on contracts made by Foundations to cultivate ongoing relationships.k) Collect and prepare confidential meeting materials, reports, and agendas, take notes/minutes for meetings as requested and follow-through with action items.l) Manage all aspects of the organizations office services.m) Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as organization grows.n) Assist in the selection of vendors and purchase equipment, services, and supplies necessary for the operation of the organization.o) Assist in collecting and preparing data and reports for yearly audit.p) Work with the accounting team to process certain accounts payable items.q) Manage, track, and maintain yearly administrative budget and expenditures.r) Participate in and assist with events as necessary.s) Other projects and duties as assigned for the overall benefit of the organization.t) Comply with all Foundations policies and procedures.u) Performing all other duties as assigned by the Executive Director or immediate supervisor.Qualifications: High School Diploma or Equivalent Must be 18 years or older Must pass Level II background screening Valid Driver's License, clean driving record, and ability to travel Must pass initial and random drug screens Minimum of 2 years of administrative experience Flexibility to work weekends or holidays Knowledge, Skills & Abilities: Knowledge of Microsoft Office Suite (e.g., Word, Excel, PPT) Skilled in organization and time management abilities Skilled in verbal and written communication Ability to maintain confidentiality of sensitive information Ability to work independently and adapt to changing priorities Physical Demands and Working Conditions: Primarily office related work conditions; Occasional stooping, bending, and leaning The ability to lift/carry thirty (30) lbs. of equipment and materials Must be able to stand for long periods of time that exceed three (3) consecutive hours; Finger dexterity and agility, use hands to handle, control, or feel objects, tools or controls; Repeat the same movements Talk, see clearly Finger dexterity Must be able to navigate stairs and may be asked to carry weight up and down stairs.Salary: Hourly 8 a.m. 5 p.m. (40hr week) recblid z81oqom4fv5t0jjer90aful3a5u4sj
