Our client, a Private Equity firm, is seeking an incredible Administrative Assistant in Palo Alto to support four senior team members. This role will entail core high-touch and strategic Executive Assistant tasks including extensive travel arrangements, calendar/scheduling management, meeting logistics, assisting with presentations, serving as a gatekeeper, and ad hoc projects. What you'll do:
- Support multiple senior team members with various administrative issues, including calendar management, email communications, travel and executive itineraries, and special projects.
- Coordination of fast-paced operations and scheduling needs for one managing directors and three directors.
- Arrange extensive and complex domestic and global travel, including air/ground transportation, itinerary, and expenses.
- Organize various contact information, client records, data, and reporting in CRM
- Manage meeting logistics, assisting with presentations and materials.
- Complete additional tasks and projects as needed, maintaining knowledge of broader business goals/objectives.
What you'll bring:
- 5+ years of previous experience of executive assistance within finance and other professional industries (with experience supporting multiple high-level individuals)
- Experience with global travel arrangements is required
- Outstanding written and verbal communication skills
- Prioritize and can multitask with ease in a fast-paced environment
- Experience in Salesforce or other CRM applications
- Strong technical skills (proficient in Microsoft Office, Adobe, Video Platforms (Teams, Google Meets, Zoom, etc.)
- High level of confidentiality and problem-solving skills, while remaining detail-oriented
Salary Range:
$110,000 - $120,000
