Job Title: Administrative Assistant
Location: Downtown Cleveland, Ohio
Position Overview: We are seeking a motivated and highly organized Administrative Assistant to support our dynamic team. The ideal candidate will provide administrative and clerical support to ensure smooth office operations, enhance team efficiency, and contribute to the overall success of the company. This position requires strong multitasking skills, professionalism, and a proactive approach to problem-solving.
Day to Day Responsibilities: Update and create Word and Excel documents, writing letters, input data on database, coordinate mailings, and general office work.
Key Responsibilities:
- Provide general administrative support to the office, including answering phone calls, managing calendars, and scheduling meetings.
- Coordinate office operations and procedures to ensure organizational efficiency.
- Prepare and format documents, reports, presentations, and correspondence.
- Maintain filing systems, both electronic and physical, ensuring that documents are easily accessible and up to date.
- Assist with the onboarding process for new employees, clients, or vendors.
- Handle confidential information with discretion and professionalism.
- Order and maintain office supplies, ensuring that the office is always well-stocked.
- Assist in preparing for internal and client meetings, including arranging travel and accommodations as necessary.
- Handle client inquiries and provide basic support regarding financial documents or services.
- Support compliance, regulatory, and auditing tasks as directed.
- Manage office communications, including emails, memos, and office-wide announcements.
- Contribute to team projects and support special initiatives as required.
Qualifications:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- 2+ years of experience in an administrative or office support role, preferably in the financial services or related industry.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Highly organized with the ability to prioritize and manage multiple tasks simultaneously.
- Ability to maintain confidentiality and exercise discretion.
- Positive attitude, with strong interpersonal skills and a collaborative approach to teamwork.
- Ability to adapt to a fast-paced environment and take initiative to solve problems.
- Knowledge of financial services industry or experience in similar industries a plus.
