Job Summary: We are seeking a proactive and organized Administrative Assistant to support daily office operations. This individual will be responsible for maintaining office cleanliness, managing communication, assisting with purchasing needs, coordinating meetings and events, and providing general administrative support across departments. The ideal candidate will be detail-oriented, flexible, and able to multitask in a fast-paced environment.

Key Responsibilities:

  • Proactively restock supplies, organize, and tidy up office areas (light cleaning, trash disposal, and dishwashing as needed).
  • Provide general administrative support, including data entry, filing, and preparing documents or reports.
  • Welcome guests by greeting them, in person or on the phone, answering or directing inquiries.
  • Oversee purchasing tasks, including ordering office and breakroom supplies, and managing urgent purchasing needs.
  • Support with organizing company meetings, training sessions, and events (e.g., ordering food, coordinating meeting spaces, and preparing materials).
  • Assist in the planning and execution of office celebrations and team bonding activities.
  • Handle miscellaneous administrative tasks, including managing inventory and assisting with employee workspace setup.
  • Provide support during vacations, sick days, or breaks to ensure front desk coverage and ongoing operations.
  • Running errands, including trips to the post office - Handling mail and packages, shipping items, and ensuring timely delivery of company correspondence.

Qualifications:

  • Strong organizational and multitasking skills.
  • Task oriented.
  • Excellent verbal and written communication.
  • Ability to handle various administrative tasks in a timely and efficient manner.
  • Skilled at working within a team-oriented, collaborative environment, while also able to work independently.
  • Proficient in Microsoft Office Suite and basic office equipment.
  • A positive, proactive attitude and ability to work well independently and as part of a team.

Compensation & Benefits

Salary range is $45,000 - $55,000 depending on qualifications, education, and experience.
