The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.Position SummaryThe Administrative Assistant will provide administrative support to the Counseling Services division. Responsibilities include coordinating meeting schedules for the department's directors, handling travel arrangements and reimbursement, answering phones and greeting students/patients and performing all secretarial operations to optimize patient flow and care. The Administrative Assistant will also be required to manage the clinical schedule for the Counseling Services staff and cross cover other administrative staff, including the Administrative Secretary and the Administrative Aide.Responsibilities* Responsible for creating and maintaining the Counseling Services clinicians' schedules in the electronic health record* Assist the Executive Director of Finance and Administration with the credentialing process for licensed and credentialed staff* Greet all students/patients and schedule appointments by phone, in person, or via email* Create and maintain the clinicians' On-Call schedule for the Counseling Services division* Prepare monthly and quarterly statistical reports for the Counseling Services division* Accurately record and transcribe meeting minutes* Assist with scanning forms and documents into the electronic health record* Respond to and resolve insurance and billing related inquiries via phone, email, and in person* Liaise with Student Health insurance office team to resolve insurance enrollment-related issues* Complete and process travel and expense reports.* Reconcile P-Card transactions for the division.* Organize and schedule meetings as requested by the department directors.* Reserve rooms for events and meetings when necessary* Responsible for processing medical record release requests for the Counseling Services division* Other duties as assignedMinimum Qualifications* A bachelor's degree or equivalent in education, training and experience, plus one year of related experience.Preferred Qualifications* Knowledge of MS Window Office Professional.* Excellent customer service skills.* Ability to work and negotiate with diverse constituencies.* Ability to set priorities and exercise sound judgment.* Ability to work effectively and efficiently with a small team of dedicated employees, resolving systematic problems in a proactive way.* Excellent organizational and written/oral communication skills.Equal Opportunity Employer / Disability / VeteranColumbia University is committed to the hiring of qualified local residents.
