Client's Bio Innovation Hub, an independent biotech-like group of 19 people located in Kendall Square, is seeking an Administrative Assistant. This role involves supporting a highly col-laborative team that works with transformative biotechs across North America to develop new medicines. Scope of Work
- Perform a diverse range of routine office duties, including invoicing, maintaining records and files, typing, data entry, and coordinating meeting/travel arrangements
- Process and manage expense reports, handle vendor management, and run various re-ports to support human resource tracking, accounting, and operational needs
- Provide support to a 19-person team, including maintenance of facilities, catering, and other clerical/administrative tasks as required
- Take charge of event planning and execution, including business-related meetings, offsite department events, team-building activities, and group meetings. Assist in receiving and welcoming invited guests for these events
- Offer comprehensive assistance with merchandise orders, including gifts, and coordinate shipping and receiving. Investigate and resolve order or return issues, and expedite activities as needed
- Experience with the regulations of consulting with Health Care Professionals (HCPs) and other Key Opinion Leaders is a strong plus.
Candidate Profile
Education: Bachelor's or College degree preferred
Experience: Minimum of 3-5 years of relevant experience
- Experience within a pharmaceutical company is required
IT Proficiency: Strong computer skills, particularly with Microsoft Office
- Effective time management and internet research skills
- Experience with Concur for expense handling is a plus
Communication: Exceptional written and verbal communication skills
- Ability to understand work implications and provide recommendations for solutions
Personality: Excellent customer service skills with meticulous attention to detail
- Flexible mindset, capable of quickly changing priorities or objectives in a highly innovative environment
- Strong processing and execution skills
Confidentiality: Ability to work independently with professionalism, diplomacy, discretion, and sound judgment when handling confidential and sensitive material
