JOB TITLE: Administrative Assistant

REPORTS TO: Executive Team

Supports: Executive Team

Salary: $56,000

NATURE AND SCOPE OF JOB:

The Administrative assistant will be supporting the executive team in completing any assigned administrative tasks. They will set the tone for our office culture and customer service. They may assist with confidential and sensitive information.

RESPONSIBILITIES:

  • Meeting and Greeting clients, DSPs, and any other visitors for executive team.
  • Answering and forwarding calls
  • Sorting and distributing mail/deliveries.
  • Record all communications for any team meetings present in
  • Maintain all trackers that have been delegated to position.
  • Record all communication in DSPC Portal
  • Maintain executive calendars.
  • Maintain open internal positions.
  • Filing
  • Any other tasks assigned by the executive team.

QUALIFICATIONS:

  • 2 years of administrative work experience
  • Pass Federal Background check
  • An Understanding of the I/DD Industry
  • Calm and patient demeaner when applicable
  • Demonstrated ability to coach others
  • Well spoken
  • Good Writing skills
  • Excellent administrative skills both written and verbal
  • Professionalism to work along side the executive team

JOB FUNCTIONS:

  • Always conduct themselves in a professional manner
  • Promote highest level of respect and kindness to our DSPs & clients/families
  • Participant in team meetings
  • Monitor and respond to all communications in a timely manner
  • Work collaboratively with their team and brainstorm solutions
  • Produce/Submit telecommute report when applicable
  • Bring all escalated issues to supervisor before making decisions that would be outside our standard operating procedures.
  • Attend company functions and greet clients
  • Abide by HIPAA rules and regulations
  • Keep and maintain notes on all meetings held
  • Adhere to all policies and procedures as outlined by DSPC management team
