Job Description :
The Olympic Club, a private member athletic and country club in San Francisco, seeks a Administrative Assistant for our engineering department. At The Olympic Club, our members enjoy 2 campuses, 19 sports, world-renowned golf courses, exceptional social and athletic programs as well as 18 hotel rooms and 5 Food & Beverage outlets. Our City Clubhouse is located one block from Union Square and within easy walking distance of the Powell Street BART station. Our Lakeside Clubhouse sits next to the ocean on the border of San Francisco and Daly City. The Olympic Club offers employees free golf on Mondays at our Lakeside campus and a variety of sports and social events for employees throughout the year as well as lunch and dinner provided every day. Essential functions and responsibilities:
  • Provide detailed data analytics for the engineering department for utilities and department expenses.
  • Manage construction cost tracking and projection management for various construction projects.
  • Reconcile capital expenditures as they pertain to the engineering department.
  • Communicate and follow up in a timely manner to other department's inquiries on maintenance requests and to the Engineering staff. Communication includes in person, by phone or by email.
  • Update and communicate with Director of Real Estate and Facilities and the Chief Engineer on the progress of work orders and other tasks assigned in a clear and accurate manner by email and in person.
  • Other duties as assigned by the supervisor/manager or other management of The Club.
Knowledge, Skills and Experience:
  • Minimum Education (or substitute experience required: Bachelor's degree in business administration, engineering, or related field preferred.
  • Minimum Experience Required: 5 years' experience in an administrative position. Experience with data entry and use of database.
  • Licenses or Certificates Required: Valid Driver's License, clean DMV record.
  • Skills Required: Strong organizational skills. Excellent communication skills including being able to speak clearly, have a professional demeanor, and be able to write emails in a clear and understandable way. Great follow up skills, including responding to all emails, voicemails, and inquiries in a timely manner. Be able to type at minimum 30 words a minute. Have a great attention to detail and be able to identify errors quickly. Have honesty and integrity. Be able to follow all procedures and be able to take direction. Be comfortable communicating with all levels of staff and various departments. Excellent customer service and interpersonal skills required. Able to work independently and able to complete tasks without direct supervision. Able to prioritize tasks in an efficient manner. It is preferred but not required, to be able to read and understand technical writing.
  • Computer Skills Required: Intermediate knowledge of Microsoft Excel, Word, and Outlook. Intermediate knowledge of how to use a PC computer.
  • English Communication Skills Required: Fluent written and oral knowledge.
Qualifications Desired:
  • Work experience within the club/hospitality industry.
  • Working knowledge of AutoCAD or other engineering software programs
  • Familiarity with project management software, such as MS Project
  • Ability to handle multiple projects simultaneously in a fast-paced environment.
  • Proficiency in Spanish or another foreign language
