Position Summary and Responsibilities

The Administrative Assistant provides administrative assistance and operational support to the Dean of Studies office with an emphasis on supporting the Dean of First-Year Students.

Responsibilities

* Respond to email, calls and correspondence; assist visitors, order office supplies; maintain department calendar, schedule appointments and meetings.

* Update and edit the First-Year Handbook, Pre-major Advisor Handbook, and Dean of First-Years websites.

* Prepare materials and records for meetings; send out student transfer requests; prepare spring and summer mailing to incoming students and orientation packets.

* Assist with Orientation, Common Reading, and Vassar Families Weekend events.

* Reconcile p-card purchases and track budgets in Workday.

* Maintain academic digital files for all members of the incoming class; maintain the pre-major advisory database and assist in reassigning pre-major advisors for sophomores.

* Provide work direction to summer student employees.

Qualifications

* A minimum of two to four years of administrative support experience or equivalent combination of education and experience.

* Strong computer skills are required including proficiency with the Google Workspace, Microsoft Word, Microsoft Excel, e-mail and internet browsers. Familiarity with Banner is desirable.

* Excellent written and verbal communication skills and telephone manner are essential.

* Requires the ability to interact effectively with a diverse community of students, parents, faculty, and staff.

* Position requires discretion and the ability to maintain confidentiality.

* Strong organizational skills.

* Must be able to work both independently and as part of a collaborative team.
