Overview

Burlington is seeking a proactive and highly organized Administrative Assistant to support to the GSVP, Legal Counsel. This role involves managing schedules, coordinating with external entities, outside law firms, courts, preparing reports, and handling various administrative tasks to ensure the GSVP, Legal Counsel and VP's, Legal Counsel (4) and teams can focus on strategic initiatives. In this role, you will work with internal and external business partners to contribute to Burlington's professional reputation. By protecting confidential details and handling sensitive information with integrity, you will help build and maintain trust within the team and the organization.

A Day in the Life:

  • Calendar Management, Travel Arrangements and Expense Reconciliation: Maintain and coordinate the GSVP and 4 VP's schedules, including arranging meetings, appointments, expense reconciliation and travel arrangements. Plan and book travel, including flights, accommodations, and transportation. Prepare detailed travel itineraries.
  • Meeting Coordination & Document Preparation: Organize and prepare for meetings, including scheduling, sending reminders, booking meeting rooms, setting up audio-visual equipment and organizing catering when necessary. Draft, run, and edit reports to support attorneys in their practices. Take meetings notes and follow up on action items. In partnership with your Manager, prepare reports, presentations, and other documents for executive meetings and presentations. Handle confidential and sensitive information with discretion.
  • Office & Project Management: In partnership with your Manager, support day to day operations, including ordering supplies, organizing and documenting mail, monthly accrual submissions, manual check requests, managing equipment needs, and coordinating with various departments as needed. Set up and manage Teams Channels and file sharing to facilitate efficient collaborative project management. Assist in the planning and execution of projects and initiatives. Track project progress and report on key milestones. Collaborate with manager to identify, create/improve, drive, and implement Legal department processes and workflows, focusing on efficiency, scale, automation, including developing and maintaining self-help tools for the department
  • Relationship Management: Build and maintain positive relationships with internal and external stakeholders, such as vendors and the legal department, including onboarding new firms/vendors. Handle inquiries and direct them to the appropriate departments or individuals.

You'll Come With:

  • 5+ years of experience as an administrative assistant or in a similar role supporting executives.
    • Experience in a corporate, fast paced environment strongly preferred
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to handle confidential information with integrity and discretion.
  • Strong problem-solving skills and the ability to work independently.
  • Professional demeanor and excellent interpersonal skills.
