- Assembles data, drafts reports, and composes documents for the Dean for the effective and efficient operation of the division; proofreads and edits documents before submitting them to the initiator for review. Receives and disseminates correspondence and prepares responses to routine inquiries in accordance with standing instructions.
- Prepares meeting agendas and keeps minutes for all meetings at the divisional level; coordinates meetings, activities, and events; maintains all office files and records in a secure and organized manner and maintains a divisional calendar of reporting due dates.
- Collects data and prepares reports and presentations for meetings and the division's web page.
- Coordinates daily scheduling of appointments and meetings for the Dean, keeping abreast of the calendar; arranges travel and prepares travel documents, including expense reports after travel. Serves on campus-wide committees.
- Receives telephone calls and visitors for the Dean; refers them directly to the appropriate party in a timely manner.
- Directs students to appropriate personnel on campus and assists them with specific problems, advising them about the college's policies and procedures.
Minimum and Additional RequirementsHigh School diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Knowledge of principles and procedures pertaining to higher education; accept protocol for areas of responsibility; possess strong problem-solving and critical thinking skills; knowledgeable of the college's mission, vision, and values. Must have the ability to collect and report visual data and prepare reports. Preferred QualificationsAssociate's or Bachelor's degree preferred in Administrative Office Technology, Business Administration, Management, and/or a related field and two (2) years of experience coordinating academic programs.
