The Position: Administrative Assistant, Office of Global Education Job Summary: Reporting to the Dean of Global Education, the Administrative Assistant provides welcoming and efficient assistance to the Office of Global Education (OGE) in support of Muhlenberg's international study abroad and domestic study away programs. The anticipated schedule for this position is 7 hours per day, Monday - Friday, which includes a 60-minute unpaid lunch break (35 hours of work per week/1,820 hours annualized). Characteristic Duties and Responsibilities: Provide professional and welcoming reception to visitors, students, parents, faculty, and staff, through in-person, email, phone, and other communications. Respond to departmental inquiries, questions, and communications, redirecting to other colleagues or study abroad providers, as appropriate. Set appointments for the Dean, as needed. Maintain and update paper and digital files. Assist with maintenance of database. Ensure that application documents (i.e., passport, transcript, waiver and health forms & processing fees) are completed & uploaded, as needed. Update Study Abroad materials including, but not limited to manuals, brochures, booklets, brochures, OGE webpage updates, student handbooks, reports, and affiliate program list. Coordinate supplies, reserve space, prepare materials necessary for various office events (Study Abroad Fair, Parents Weekend, Through the Red Doors, June Advising, student informational meetings, etc.), and assist with set-ups. Assist in writing and proofreading various letters, reports, and related correspondence. Prepare mailings for study abroad programs. Prepare students' study abroad Transfer Credit Authorization and health forms. Assist with visa letters. Maintain office equipment and order supplies as needed. Work with the Office of Information Technology and the Office of Communications to advance OGE messaging and technology. May perform other duties as assigned. While no one person may possess all the qualifications listed below, the ideal candidate will have many of the following professional experiences and characteristics: Qualifications: High school diploma or equivalent required. Minimum two years relevant professional experience. Demonstrated proficiency in Google Workspace, MS Word, Excel, Publisher, and database applications. Experience or familiarity with survey software such as Survey Monkey or Qualtrics is preferred. Active commitment to diversity, equity, inclusion and belonging. Effective organizational, time management, communication, and computer skills. Essential skills include attention to detail, proven ability to work in a fast-paced environment, meet deadlines, prioritize and multitask, maintain a high level of confidentiality, and desire to work collaboratively with others.
