Administrative Assistant
Location: Paterson, NJ
Schedule: Monday- Friday 8:30am-1:30pm
Job Summary:
* Responsible for performing secretarial, Clerical, reception duties, overseeing maintenance of units office equipment and office supplies; maintaining units files in an organized and up-to-date manner and conduct billing.
* Answer all incoming phone calls and secure telephone/reception coverage when not in work area.
* Type, file and distribute all memorandums, reports and correspondence for Director, Clinical Supervisor and counseling staff (as needed).
* Type and distribute progress reports to appropriate referral sources
* Organize and maintain client rosters and communicate with the Admission Department
* Receive, open and distribute mail (when applicable)
* Prepare all outgoing mail and assure that it is sent on day prepared
* Develop and maintain an organized system of information management
* Maintain and file paperwork for all treatment files (when applicable)
* Ensure that all open client files are up-to-date and organized alphabeticallyall closed files are organized alphabetically and are easily accessible
* Oversee functioning of all office equipment and machines (i.e., fax, copy machine, etc.)
* Monitor and order all office supplies
* Attend weekly staff meetings and take meeting minutes (when applicable)
* Observe all confidentially requirements required by regulating agencies
* Billing duties include verify insurance eligibility, submit claim files to Medicaid, Managed Care insurance and any other applicable NJ approved billing portals. Confirm claim file acceptance and resolve any known issues related to the file submission. Identify, correct and track critical billing errors in coordination with the treatment provider. Perform data entry, payment posting collection and receivable reports. Participate in scheduled billing meetings. Other billing duties as assigned.
Qualifications:
High School diploma or GED; proficiency in English Language; computer literate with all word processing applications; familiarity with office equipment; ability to interact appropriately with clients, staff and outside persons and hold confidential all client and agency/department information obtained as a result of performing job responsibilities.
