The Position: Administrative Assistant, Provost's Office Job Summary: The Provost's Office at Muhlenberg College invites applications for an administrative assistant. The Provost's Office oversees operations of the academic program at the college, inclusive of student academic success, faculty hiring and support, program assessment, faculty and student awards and research, and collaborates frequently with most offices on campus. This administrative professional provides support to the Dean of Academic Life and the Associate Dean of Academic Life, and to the Provost's office as a member of the Provost's staff. The Dean of Academic Life has primary responsibility for the evaluation of the individual in this position in collaboration with the Associate Dean of Academic Life. The anticipated schedule for this position is 7 hours per day, Monday - Friday, which includes a 60-minute unpaid lunch break (30 hours of work per week/1,560 hours annualized). Characteristics Duties & Responsibilities:
  • Maintains information for student awards and special scholarships, postgraduate awards initiatives, and special honors programs such as the Dana Scholars, Muhlenberg Scholars, and Shankweiler Scholars.
  • Manages award letters and contracts for student/faculty summer research collaborations and provides support for the Celebration of Student Research and Scholarship poster session.
  • Organizes and administers the annual Honors Convocation ceremony from planning to execution, including correspondence, prizes and awards, organizing the script and program, invitations and the ceremony.
  • Assists in faculty recruitment activities by scheduling Campus Ambassador meetings for faculty candidates during on-campus visits and by maintaining the faculty search guidelines.
  • Tracks student travel fund requests and the summer student research budget.
  • Oversees the budget for Lectures and Forums.
  • Other event planning and support as needed.
General:
  • Oversees the day-to-day operations of the office, including calendar of events; activities; meetings; opening, distributing and prioritizing mail; answering, screening and directing calls and inquiries, and in-person visitors, in a professional and welcoming manner.
  • Meets regularly with the Provost's office staff to discuss current department business; tracks action items and deadlines.
  • May perform other duties as assigned.
While no one person may possess all the qualifications listed below, the ideal candidate will have many of the following professional experiences and characteristics: Qualifications:
  • High school diploma or equivalent required.
  • Experience providing administrative support in a higher education or other professional setting.
  • Strong organizational, planning and time management skills necessary.
  • Ability to function independently, demonstrate initiative, and balance priorities in a busy department serving students, faculty, and other campus constituents.
  • Demonstrated commitment to diversity, inclusion, equity and belonging.
  • Excellent interpersonal and communication skills.
  • Ability to effectively interact with diverse groups, including students, faculty and staff.
  • Exercise sound judgment, flexibility and adaptability.
  • Accuracy, reliability and confidentiality in performance of duties in an environment of frequent interruptions.
  • Maintains attention to detail while understanding the overall project or operation of the office.
  • Strong knowledge of Google Workspace and MS Office applications, including excellent typing, word processing, mail merge, spreadsheet, and internet navigation skills.
  • Successful completion of satisfactory background checks required.
