General Description:The purpose of this job is to perform various rule delegation activities by performing the following duties:This class works under general supervision, independently developing work methods and sequences.Duties and Responsibilities:The functions listed below are those that represent the majority of the time spent working in this position. Management may assign additional functions related to the type of work of the position as necessary.• Issues and rescinds Bench Warrants according to Judge's orders.• Reviews B/Ws that have beenserved at Warrants Division.• Prints and notarizes rules to show cause.• Forwards rules copies to appropriate entities.• Forwards rules to show cause to Sheriff's Departments for service in other counties, Department of Social Services, and Family Court Process Servers.• Interacts with the various Sheriff's Departments and Process Servers concerning service.• Assigns dates and times for cases to be heard.• Print dockets.• Print profiles for each case.• Organizes court materials.• Pull folders.• Reviews folders for accuracy and completeness.• Assembles orders and forms.• Schedule cases for Court Hearings.• Reviews Department of Social Services letters requesting court dates and communicates with the Department of Social Services concerning court.• Acts as a liaison between Judges Chambers and Clerk of Court's office.• Keep plaintiff informed by mail and/or telephone.• Answer letters concerning support and status of cases.• Attends court and take notes.• Make photocopies.• Assists with writing bench warrants, supports orders, etc.• Assists the Judge, Department of Social Service Investigators, and the attorneys in the courtroom. Clocks in orders after court and put them with appropriate files.• Stamp unheard cases to be rescheduled, clock in and give to the Court Clerk I to enter into the computer.• Monitors cases and updates status. Holds cases whose defendant is unable to be located.• Prepare Process Service Report to be sent to Department of Social Services.• Prepares, receives, and/or processes various documents, records and reports to include case files, affidavits for arrears, arrears reports, rules, receipts, letters and statements, and orders of dismissal.• Communicate with customers, judges, attorneys, Sheriff Departments, Department of Social Services, offices, and coworkers to exchange information.• Answer telephone.• Provides professional and courteous customer service at all times to in-house staff and general public either by telephone, electronically, or face to face.• Perform other duties and related work as instructed and assigned.Supervisory Functions:• This job has no supervisory responsibilities.Minimum Education and Experience Requirements:High school diploma or general education degree (GED); and two to three years of clerical experience; and/or education in secretarial science or an Associate Degree in Business or equivalent from two-year college or technical school. Three years of office management experience preferred. Must possess typing and computer skills.Special Certifications and Licenses:• Notary PublicReasoning/Mathematical/Language Skills:Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs.Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.Physical Demands:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
