UVA's School of Continuing and Professional Studies (SCPS) seeks an Administrative Assistant to provide front-line support at our Old Ivy Road location.

SCPS helps working adults finish their degrees and advance their careers. The school offers two undergraduate degree completion programs, a master in public safety, and a full slate of certificate programs and other career accelerators. Our programs are primarily online, and our students are often juggling the demands of family and work. We believe there are many paths to a great education, and SCPS plays an important role in bringing an accessible and affordable UVA education to nontraditional students and adult learners, no matter where they are in life or the world.

Responsibilities include:

  • Fostering a welcoming environment for all Old Ivy Hall employees and visitors
  • Overseeing badge access and key distribution for SCPS employees
  • Serving as liaison with facilities management for service requests
  • Coordinating scheduling for SCPS classes and events
  • Maintaining SCPS classroom reservation system
  • Providing classroom technology support
  • Organizing and ensuring rooms are arranged and prepared prior to classes and events
  • Receiving and distributing packages and mail; organizing mailroom for SCPS and other building tenants
  • Providing general, clerical support for academic programs and Dean's Office as needed
  • Understanding and complying with school and university policies to ensure appropriate protocols are followed
  • Working with the Chief of Staff and Office of the Dean to manage calendars and electronic files
  • Provide backup support for senior leadership and program administrators.

About the Position

The work schedule is typically 8:00am-5:00pm with occasional after-hour events. This is primarily a sedentary job involving extensive use of desktop computers. The job requires regular travel to attend meetings and community programs.

Minimum Qualifications:

  • Education: High School Diploma
  • Experience: At least one year of relevant experience.

Preferred Qualifications:

  • Demonstrated proficiency in Microsoft Office applications, including Microsoft OneDrive and Teams.
  • Demonstrated proficiency in Smartsheet, Qualtrics, and/or Sharepoint
