This person will be providing essential support to our operations and sales team. The ideal candidate is proactive, a team player, and possesses a positive attitude and strong work ethic. This role involves managing accounts receivable and payable, generating and managing contracts, handling special projects, and performing general office duties. - Initiate and maintain contracts for seed production/sales and business purchase orders using DocuSign.
- Maintain an accurate customer database, including contract dates, deposits, payment tracking, and tax status.
- Provide professional office support to team members, supervisors, team leaders, external agencies, contractors, and the public.
- Analyze and resolve problems efficiently.
- Handle phone calls for the sales team and assist with customer inquiries.
- Manage accounts receivable, produce statements, process payments, ACH, credits, and refunds.
- Support public seedling sales, including handling proceeds, reconciliation, website updates, preparation, and participation on sale days.
- Assist finance, planning, and corporate accounting, and liaise with investigations of variances/issues, gathering necessary information and audits.
- Collect, compile, and enter production data, including crop inventory, QC data, and crop growth tracking.
- Maintain customer files, file retention, and storage compliance.
- Perform computer tasks, including word processing, spreadsheet creation and maintenance, web database management, and file sharing.
- Participate in site activities related to safety, environmental, wellness, and DEI initiatives.
- Assist with business-wide activities, including open houses, event planning, and newsletters.
- Manage multiple rapidly changing priorities efficiently, showing initiative and urgency to meet deadlines.
- Model standard processes and core values of safety, integrity, citizenship, sustainability, and inclusion.
Qualifications:
- Minimum of five years of administrative experience and a high school diploma or equivalent.
- Commitment to safety and safe work practices.
- Proficiency in Word, Excel, PowerPoint, Outlook, Power BI, SharePoint, and the ability to learn other software quickly.
- High degree of initiative, common sense, and a positive can-do attitude, with the ability to work in a team environment.
- Flexibility and ability to provide multi-faceted support to professionals with varied work styles and constant interaction with people at all levels of the business.
- Ability to establish and maintain solid working relationships and build trust and cooperation with team members, other businesses, vendors, and suppliers.
- Professionalism in handling confidential and proprietary materials with discretion.
- Ability to work under pressure, prioritize, and organize multiple tasks simultaneously with minimal supervision.

Preferred Qualifications:
- AA Degree in business or a related field.
- Two years of detailed accounts receivable experience, SAP, SharePoint.
- Experience working in a sales environment with demonstrated customer interaction and professional communication skills.
- Experience in natural resources (forestry, agriculture, horticulture).
