School employees | Washington State Health Care AuthorityJOB PURPOSE The primary purpose of this job is to support the director and staff in assuring that the district maintains compliance with state and federal categorical programs. ESSENTIAL FUNCTIONS Monitors program components for the purpose of ensuring compliance with state and federal requirements such as: Timelines for special education processes such as initial referrals, assessments, IEPs Monthly state count December federal count and many other required state and/federal reports Maintains confidential files Maintains data base on active/inactive students Processes student information: New students Skyward & IEP Online data input Helps families enroll their children in special education Obtains releases and gathers information from previous school districts for new special education students Provides necessary information to school offices and special education staff, to place student in program Annual purging, cataloging, storage and legal destruction process of inactive student records/files Perform the annual Year Start and Year End processes of staff, students, and security in Skyward and IEP online Follow directions, assume office responsibilities, maintain confidentiality, and work independently Initiate communication with parents, students, staff, and community members for a variety of school-related reasons using correct oral and written language Respond positively to students and families with special needs and/or who are at-risk as well as demonstrating an awareness of and empathy for their circumstances Be punctual and have regular/consistent attendance Knowledgeable of and follow District, State and Federal policies and guidelines as pertains to their position/facility Be self-motivated toward assigned duties and work well under pressure including submitting required reports and meeting required deadlines Create letters, forms, and emails using appropriate software Be willing to participate in in-service offerings and workshops Take all necessary and reasonable precautions to protect students, equipment, materials, and facilities Assist in upholding and enforcing school rules, administrative regulations, and board policies OTHER FUNCTIONS Other duties as assigned MINIMUM QUALIFICATIONS Prior experience with Federal/State categorical programs rules and regulations Demonstrated ability to understand and explain to staff district implementation of Federal/State categorical programs rules and regulations Demonstrated ability to efficiently operate all other commonly used office equipment - including ability to type 50 wpm and operate a 10 key calculator with accuracy Must be able to use Skyward program and IEP Online programs, and demonstrate proficiency within 20 workdays Formal training or experience preparing reports using spreadsheets and database software such as, but not limited to, Excel, Skyward, IEP Online Must possess respect, awareness and appreciation of diversity among individuals. Must possess positive and effective human relations skills - including ability to project a friendly and caring attitude towards all patrons of the school district both by proper verbal and written business communication Must possess ability to uphold board policies and follow administrative procedures Demonstrated ability to respond to inquiries of staff, the public, parents and/or students for the purpose of providing information Demonstrated ability to responsd discretely and appropriately to information provided by staff and parents Must possess ability to handle confidential matters appropriately and ethically Demonstrated ability to work effectively as a team member and analyze situations to define issues, draw conclusions, and determine resolutions and/or action plans Must possess ability to be accurate, detail oriented, organized, dependable, and tactful Demonstrated ability to use proper grammar, spelling and punctuation in written and oral communication, plus be proficient in mathematics Demonstrated ability to perform general office procedures using standardized methods, including answering phones, filing, and efficiently maintaining accurate records and files Demonstrated ability to utilize relevant computer programs including word processing, spreadsheet, and relational database systems Must possess ability to multi-task with interruptions, be self-motivated toward assigned tasks, work independently with limited supervision, work well under pressure, and consistently meet required deadlines Must possess ability to accept direction and constructive criticism Willingness to successfully upgrade skills in order to meet changing job conditions Neat, clean personal appearance and traits that make him/her a good role model for students; work apparel should be appropriate for a safe and professional work environment EDUCATION/EXPERIENCE High school diploma and/or equivalent; and prior job related experience with increasing levels of responsibility WORKING ENVIRONMENT The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing.
