General Purpose of Job:The Administrative Assistant performs a wide variety of administrative duties to support executive staff at Driscoll Health Plan (DHP).   • Maintains utmost level of confidentiality at all times.
  • Adheres to hospital and health plan policies and procedures.
  • Researches aspects of the various lines of business, especially STAR Kids, offered by DHP.
  • Maintains various data sets in a manner prescribed by the Director.
  • Retrieves or collects information from various DHP systems or applications and maintains such data as necessary for the operations of the STAR Kids Department.
  • Attends, as needed, state and/or program stakeholder meetings to gather or report information.
  • Manages projects of various scopes associated with lines of business, especially STAR Kids, offered by DHP.
  • Receives and processes Human Resources paperwork related to employees under the supervision of the Executive Director of STAR Kids.
  • Demonstrates business practices and personal actions that are ethical and adhere to corporate compliance and integrity guidelines.
  • Maintains composure, effectiveness, and flexibility under pressure.
  • Uses Microsoft Office - Word, Excel, and PowerPoint, at a minimum - to perform a variety of assignments.
  • Gathers data and other necessary information for preparing various reports and presentations. Types and reproduces written materials or correspondence.
  • Coordinates location, catering, presentation materials, audio-visual support and notification of meetings, appointments, conferences, telephone calls, etc.
  • Records/transcribes meeting minutes from various meetings.
  • Answers/screens incoming telephone calls and routes call to appropriate individual or takes messages as appropriate. Responds to inquiries and requests for services provided by Driscoll Health Plan (DHP) or, on occasion, Driscoll Children's Hospital (DCH).
  • Receives, opens, sorts, and distributes incoming mail. Utilizes couriers, the US Mail and delivery services as needed.
  • Greets visitors, ascertains nature of business, and escorts visitor to appropriate person/area.
  • Orders office supplies and equipment using the Lawson online ordering system.
  • Prepares check requests and obtains signatures for invoices as directed by accounting department requirements.
  • Makes inbound and outbound travel arrangements and files related travel expense reports.
  • Participates in preparing material for use in newsletters, fax blasts or other communications that are sent to providers and/or members, especially for the STAR Kids program.
  • Other duties as assigned.
Education and/or Experience:
  • Bachelor's degree (B. A.) from four-year university or college; or two to three (2-3) years of related experience and/or training; or equivalent combination of education and experience.
  • Two to three (2-3) years of experience as an Administrative Assistant.
  • Some experience is project management tasks highly desirable.
  • Knowledge or experience dealing with children's services, especially social and disability issues, is a plus, but not required.
