Information Regarding the Salary Placement Process:

According to the terms of the Collective Bargaining Agreement between LBCC and the Independent Association of Classified Employees (IACE), all Classified employees begin at Step 1 of the salary schedule, corresponding to the position's grade. Placement at a higher step on the schedule is not negotiable, except by mutual written agreement of Association leadership and LBCC Human Resources. These exceptions are uncommon, and only granted in limited circumstances.

The Administrative Assistant position is graded as a Grade 18. Step 1 on the Classified salary schedule for this grade is $53,065. Progression on the salary schedule is subject to the terms and conditions laid out in the IACE Collective Bargaining Agreement. Position Title: Administrative Assistant, Teaching and Learning Support Employment Requirement Criminal Background Check - C4 Division/Department: Teaching & Learning Support Location Albany Campus, Albany, OR Job Summary:

Provides assistance to the dean in the day-to-day administrative and operational coordination of the division. Performs a wide range of complex and technical administrative duties.

Required Qualifications:

Education and Experience:

* Requires an associate's degree or equivalent, with an emphasis in administrative assistant, technology, project management, business, or a related field.

* Additional related experience may substitute for the education requirement on a year for year basis.

Knowledge and Skills:

* Requires knowledge of budgetary and fiscal processes, standard office techniques, principles and practices of office management, work organization and simplification.

* Requires strong organizational, planning and communication skills.

* Must have excellent computer skills, including thorough knowledge of current software applications related to administrative support.

* Requires excellent written communication skills and proper English usage.

Abilities:

* Must be able to act independently, using judgment and discretion in carrying out the duties of the position efficiently and effectively.

* Requires the ability to maintain and revise established procedural systems and controls.

* Requires the ability to plan, organize and prioritize work processes in order to meet strict timelines and schedules.

Physical Requirements and Working Conditions:

Physical Skills and Abilities:

Must be able to operate a computer and other office equipment. Must be able to communicate clearly and effectively.

Working Conditions:

Work is performed in a typical office setting with little or no exposure to health and safety hazards. The employee spends 50 percent of work time on a computer. May require some travel.

Essential Duties:

* Monitors budgets for the entire division. Assists dean by working with department chairs and managers to develop yearly budgets. Reviews and analyzes accounting services generated finance reports. Monitors and researches budget reports and corrects budget expenditures.

* Prepares and tracks budget reports, purchase orders, payment vouchers, and payroll authorizations. Has budget authority for purchase orders. Reviews all payroll and expense reports. Assists with p-card reconciliation. Accountable to the dean for the accuracy of budget expenditures.

* Provides administrative support to the division. Assists the dean by acting as liaison with department chairs, departments and other work units within and external to the division.

* Assists the dean in the day-to-day administrative coordination of the division. Organizes, assigns and reviews work within the general guidelines established by the dean. Reviews work for accuracy and consistency with institutional guidelines. Provides administrative support to the dean and coordinates administrative functions of the division, such as performance appraisals, work plans, work study allocation, etc.

* Serves as point of contact within the division relating to budget, staffing, class scheduling, hiring, payrolls, etc. provides information and assistance on a wide variety of matters requiring detailed knowledge of rules, procedures, policies, precedent and activities of the division and college.

* Prepares, tracks, and monitors payroll for the division. Prepares and monitors payment for Open Education Resources projects, Faculty Fellow/Innovator projects, and other projects or grants.

* Coordinates the preparation of the division schedule of classes. Assists with proofing schedules and initiates schedule changes. Finalizes schedule with Academic Affairs. Monitors classroom assignments, course and revised course information to Academic Affairs.

* Performs routine duties, including answering phones, assisting staff and faculty with questions and basic troubleshooting, scheduling appointments and maintaining dean's calendar, arranging and coordinating meetings, taking and transcribing meeting minutes, maintaining files, and assisting with purchasing and maintaining supplies, etc.

* Provides logistical support for Instructional Strategies Institute, Faculty Development sessions, division meetings, and other meetings or events. Helps coordinate councils or committees as requested.

* Provides assistance with the hiring and onboarding of new employees in the division. Supports hiring committees with logistics as needed. Serves on hiring committees as requested.

* Prepares administrative reports, researches, prepares and composes letters, documents, memos, policies and procedures, contracts, budget resolutions and other materials of an important or confidential nature.

* Performs other related duties as requested.
