Opening Date: December 9, 2024Closing Date: December 23, 2024Job Title: Administrative Assistant Salary/Wage: $17.00/per hourLocation: Siletz, OregonJob Posting Number: 2843683 Duties:Covers reception desk: greets parents, children, staff, community; responds to basic requests from families and prospective clients; answers telephones and directs calls as needed; receives and routes mail, routine correspondence; Maintains all administrative files including: Equipment and Supply Inventory; Child and Adult Care Food Program; Food Service Receipts and CACFP Small Purchase Procurement Log; Child Enrollment; Immunization Records, Staff employment and training; Vendors, Banking, Archived records. Purchases supplies and equipment and monitors purchases. Responsible to see that all invoices are paid timely and adequately documented.Back-up for CACFP monthly reimbursement claims.Maintains client invoices, receipts all payments, and processes bank deposits.Maintains ProCare data management system.Monitors access to the building ensuring that all visitors and children are correctly logged in and out of the building, and directs children and visitors to appropriate areas. Will serve as backup for all childcare staff where needed and for breaks.Occasionally, will assist in the Kitchen with food preparation and clean-up duties.Assists with the daily and weekly duties for laundry and end of the day cleaning.Participates in training programs, and shares general office/classroom housekeeping duties with other staff.Supervisor may assign other duties as needed.RequirementsMinimum Requirements:Completion of high school or GED, with a minimum of 1 year experience in an office setting or combination or education and experience -AND- Six months experience in a structured early childhood education setting (preschool, Head Start, Kindergarten, day-care center, etc.) - OR- Documented satisfactory completion of a related Work Experience placement, and demonstrated skills to perform the duties for this position -OR- 2 years of experience operating an in-home childcare with satisfactory employment and character references and demonstrated ability to perform the duties of the position.Experience with billing procedures and maintaining monthly invoices using a database format.Experience as a front desk receptionist.Experience with finding and ordering office, classroom and custodial supplies and working with vendors.Knowledge and demonstrated ability to operate various pieces of office equipment including: copier, FAX, calculator, multi-user telephone system, and computer.Must demonstrate the ability to work effectively with children in a group setting and to respond appropriately to their needs.Must be able to work cooperatively in a classroom setting to ensure that children are continuously supervised and that emergent situations are immediately attended to.Must be able to intervene physically if necessary to ensure the safety and well being of children. This may require running, bending, stooping, crawling and/or lifting or carrying a child that weighs up to 50 pounds.Must adhere to the confidentiality of information and individuals as describe in the Tenas Illahee Employee Handbook and federal law.Able to work cooperatively as a team member and to accept all delegation of duties in a positive manner.Current First Aid/CPR and Food Handlers certification, or must attain certification within 30 days of employment.Must be able to enroll and maintain enrollment in the Central Background Registry.Salary Description $17.00/hour
