Position Type: Secretarial/Clerical Date Posted: 11/17/2023 Location: Central Office POSITION ANNOUNCEMENT November 17, 2023 POSITION: Administrative Assistant to the Deputy Superintendent LOCATION: Central Office JOB SUMMARY: The Administrative Assistant, under the direction of the Deputy Superintendent, is responsible for the coordination of all functions of the Deputy Superintendent's office. Assignments may include compiling and analyzing data, coordinating multiple concurrent activities, and interacting with individuals and groups at most levels in the organization. MINIMUM QUALIFICATIONS: 1. Associate's Degree in Business Office Technology or related field, Bachelor's degree preferred;Five years progressive experience in a school office or related setting; 2. Experience in working with sensitive information regarding students; able to perform duties maintaining confidentiality along with professional demeanor when interacting with parents; 3. Broad knowledge of administrative functions and thorough knowledge of DCSS policies, rules and regulations; 4. Experience in Microsoft and Google Suites; 5. Such alternatives to the above qualifications as the Board may find appropriate. SKILLS AND ABILITIES: 1. Excellent oral and written communication skills; 2. Ability to collect, sort, prepare and scan documents, and label them for easy identification; 3. Ability to prepare and maintain clear, detailed and complete reports; 4. Excellent human relations skills to work productively and cooperatively with diverse teams; 5. Exemplary organization,planning and time management skills; 6. Ability to perform well under pressure for completing time-sensitive priorities; 7. Demonstrated resourcefulness, ability to solve problems and work independently 8. Demonstrated a high degree of professionalism, including discretion and sensitivity to confidentiality; 9. Ability to ensure that all records are properly updated, and maintained in an accurate and confidential manner; 10. Excellent interpersonal and public relation skills. PERFORMANCE RESPONSIBILITIES: 1. Provides clerical, administrative and executive level support to the Deputy Superintendent; composes and prepares correspondence, departmental reports and other documents that are sensitive and confidential in nature; 2. Maintains calendar for the Deputy Superintendent; schedules meetings as needed; 3. Performs internal and external office communication: email, voicemail and miscellaneous written correspondence (to include general clerical responsibilities); 4. Greets and assists parents, students, staff and community in person and by telephone, in a courteous, professional, and friendly manner; 5. Communicates with diverse groups; maintains confidentiality; meets deadlines and schedules; working with frequent interruptions, setting priorities; establishes and maintains effective working relationships; 6. Prepares tribunal documentation for distribution; 7. Conducts residency verifications; 8. Facilitates enrollment for incoming students; 9. Processes and tracks requests for out-of-state field trips and school fundraisers in accordance with board policy; 10. Screens and routes incoming telephone calls; 11. Makes travel arrangements including accommodations, rental cars, and airline reservations; 12. Reviews expense reports for completeness/submits for reimbursement; 13. Files, makes copies, and performs other general administrative support; 14. Receives, sorts and distributes office mail; 15. Organizes, maintains and updates confidential, specialized and technical files; ensures accuracy and completeness of the files, email, scan, and file all necessary paperwork related to the office of the Deputy Superintendent; 16. Reviews, edits and formats draft correspondence; finalizes materials ensuring completeness, accuracy, compliance with policies and procedure; 17. Gathers and merges data to complete annual local, state, and federal reports as needed; 18. Assists the Deputy Superintendent with a variety of responsibilities and special projects; 19. Perform other duties as assigned. REPORTS TO: Deputy Superintendent SALARY RANGE: Twelve-month annual contract. Competitive salary and excellent benefits.
