Position Description

Position Summary

This position provides administrative and project support to the Director of the Graduate Program in Counseling. Responsibilities include acting as the first point of contact for faculty candidates and students; data entry; project and event coordination; maintenance of program website and a high volume of general support responsibilities.

Education Required

High School degree or equivalent

Education Preferred

Bachelors degree

Experience Required

2 - 3 years of administrative support experience

* Professional-level communication skills including strong writing, editing, speaking and comprehension skills

* Ability to communicate successfully across department and with various constituencies, including external contacts

* Strong organizational skills, strong attention to detail and procedure, ability to problem solve and see issues to their conclusion, and the ability to prioritize multiple responsibilities

* Expert computer skills including the ability to learn and work independently in Banner, Office Suite/Office 365, Qualtrics, Slate, Canvas, CALM, Discoverer, assessment software, as well as understand basic web design

* Ability to maintain and generate various reports

* Ability to work independently on complex projects with little to no oversight

* Ability to supervise work study students

Special Working Conditions

Position does require some evenings and weekend communications. Exact schedule week to week will be determined between supervisor and employee.

Essential Employee N/A Primary Duties

1. Support Director of the Graduate Program in Counseling.

2. Process admissions interviews and coordinate with enrollment department to help process applicants and new students.

3. Act as central point of contact for all inquiries and initiatives related to the graduate program.

4. Plan and support them implementation of events for the graduate program.

5. Manage clerical duties including copying, filing, file management, typing, and faculty load information.

6. Manage budget; prepare and provide monthly budget reports.

7. Maintain student lists for the graduate program.

8. Assist adjunct faculty.

9. Attend department meetings: prepare and distribute meeting minutes.

10. Maintain databases, websites and listservs for the program.

11. Collect and maintain course syllabi and textbooks for the program.

12. Update operational policies and procedures on behalf of the program as requested, including but not limited to the student handbook.

13. Assist with the preparation of annual reports and assessments of program as requested.

14. Assist with reports and details needed for CACREP accreditation, including scheduling of site visits.

15. Manage the day-to-day logistics and visits of faculty searches for the program.

16. Assist with the preparation and dissemination of promotional materials for the program.

17. Manage intensive week logistics. Reserve rooms, coordinate housing, order breakfasts and lunches, send communication to students and faculty, etc.

18. Maintain roster and communicate with students for comprehensive exams and other graduation requirements.

19. Maintain consistent and reliable attendance.

Secondary Duties

1. Obtain a familiarity with the technology used to sustain the program.

2. Maintain office equipment and order supplies.

3. Other duties as assigned.
