Job DescriptionWhat we are looking forThe Baylor University Graduate School Office of the Dean is seeking a full-time Student Records Administrative Associate to support the mission of Baylor University. This position will provide administrative support for day-to-day operations to the Assistant Director of Student Records. This includes assisting with preparation of the annual Graduate Catalog and assisting with graduation certification and degree audits.Required Skills:
  • Excellent communication and reporting skills.
  • Proficiency in common office productivity software like Microsoft Outlook, Word, and Excel.
  • Ability to learn University systems, including OnBase, uAchieve, and Banner.
  • Reliably perform specific instructions and tasks by supervisor, independently, without direct oversight from supervisor.
A High School diploma and one year of relevant work experience are required. An Associate degree and three years of relevant work experience are preferred. *A combination of education and work experience will not be considered in lieu of the required degree and/or years of experience. Applications must be currently authorized to work in the United States on a full-time basis.What you will do
  • Review and update Student Records' calendars and website.
  • Utilize spreadsheets and lists using Microsoft Excel and Word.
  • Revise and publish the annual Graduate Catalog, as well as ensure accurate data entry of all changes into the catalog system.
  • Coordinate the curriculum committee review process.
  • Assist with degree audits for all graduate programs.
  • Assist with graduation certification and commencement preparations.
  • Manage travel awards.
  • Respond to inquiries efficiently and appropriately through use of Student Records and Graduate Catalog email inboxes.
  • Navigate University systems, including OnBase, uAchieve, and Banner, to upload documents, analyze degree audits, input student information, and respond to department inquiries.
  • Maintain thorough knowledge of Graduate School programs and University processes. Enforce adherence to Graduate School and departmental guidelines and policies.
  • Perform all other duties as assigned to support Baylor's mission.
  • Ability to comply with university policies.
  • Maintain regular and punctual attendance.
