Four years relevant administrative assistant experience or experience in a related field. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.Nature & Purpose of Position Performs complex administrative assistant duties for the Homeland Security Institute.Primary Responsibilities Performs complex administrative assistant duties for the Institute of Homeland Security (IHS) to include budgets, records, policy interpretation and office management. Provides departmental or University information to external constituencies, students, University departments, and staff. Monitors phones, walk-in traffic, and email communication. Performs specialized tasks requiring a high level of skill in preparation of reports. Assists in compiling data and preparing various written summaries concerning divisional/departmental activities. Schedules appointments and coordinates activities/calendar for department. Reviews, revises, and interprets policies and procedures. Acts as a liaison between administrator and staff in matters which may involve policy decisions. Attends meetings and takes notes. Prepares, reviews, revises and distributes documents and correspondence. Supports coordinating, organizing, and supporting training and collaboration events. Manages and coordinates travel activities for the IHS staff, contractors, and IHS partners. Orders and maintains supply inventory. Handles P-Card purchases and monitors expenses. Performs other related duties as assigned.Other Specifications Requires a general knowledge of standard office functions. Requires good knowledge of procedures and practices. Must be able to use standard office software.
