Working Title Administrative Associate Brief Summary of Job Description
Individuals is responsible for managing the College of Education (COE) dean's office and leading the planning and regular meetings with COE office associates to delegate tasks to support COE functions. The administrative associate position requires proficiency in the full range of general office services and functions for support of college and work assignment.
Job Duties
* Manage COE task platform which houses tasks needed by college departments and enables COE staff to identify and complete task to support COE Departments
* Conduct regular meetings with COE staff to coordinate delegation of tasks to support all COE departments and coordinate the coverage of staff in multiple buildings.
* Coordination of COE faculty and staff searches; Work closely with search chair to schedule candidates
* Prepare and submit all COE PACFS for new hires, promotions, and changes in status.
* Manage the Dean's office schedules, oversee COE conference room reservations.
* Facilitate preparation and implementation of student evaluations.
* Process travel requests and reports for the Dean's Office and Educator Certification Office.
* Contact point for students, staff, and faculty within COE for questions and concerns, or to direct them to the correct COE Coordinator. Assesses needs and explains services, processes, procedures, and guidelines. Handles direct or indirect requests/transactions/work orders/tasks and general support to all areas of the assigned building. Assists in resolving problems and ensuring satisfactory resolutions.
* Responsible for coverage/coordination of coverage as needed across COE for OA duties such as: PACFS, travel, supply orders, accreditation documentation, marketing materials and swag, and social media posting.
* Supports and collaborates with other COE OAs and the COE dean's office to assist with other duties and responsibilities as assigned.
Required Qualifications
High school diploma or equivalent. Experience working in an office setting.
Preferred Qualifications
Three years related work experience. Associates or Bachelor's degree.
