This position plays a vital role in ensuring smooth operations and providing excellent service to internal and external customers. - Provide respectful, professional, and positive service in all interactions with co-workers, internal and external customers, community members, and the public.
- Contribute to a positive and productive work environment, ensuring compliance with the policies, procedures, goals, and objectives of the City, Department, and Division.
- Serve as the primary receptionist for the department, greeting visitors, answering and directing calls, and providing general information.
- Assist customers with completing forms, answering questions, and providing necessary information or other services.
- Create and maintain various forms, certificates, licenses, and other important documents.
- Manage and maintain schedules for various department needs, such as appointments, meetings, and events.
- Provide assistance to customers in navigating various software programs and websites as needed.
- Develop and provide instructions, manuals, maintenance, updates, and training for various software programs used by the department.
- Participate in Records Management/Document Imaging activities, including filing, indexing, scanning, researching, retrieving, copying, distributing, and destroying records in accordance with established procedures.
- Compose and type letters, reports, general correspondence, and other documents as required.
- Adhere to all established policies, procedures, and processes to ensure tasks are completed accurately and efficiently, meeting established targets.

- High school diploma or equivalent required.
- Minimum of 2 years of related experience is required; experience in Human Resources, Finance, Accounting, Procurement, or Office Administration is preferred.
- Additional job-related degrees or certifications may be considered in lieu of experience.
- Municipal records management experience desired.
Knowledge, Skills, and Abilities - May be representative, but not all-inclusive, of those knowledge, skills, and abilities commonly associated with this position.
- Proficiency in use of basic business software (word processing, spreadsheets, email, presentations) and basic office equipment with the ability to learn multiple software packages quickly.
