GCTD JOB DESCRIPTIONJOB TITLE: ADMINISTRATIVE CLERK LOCATION: GALVESTON / BRAZORIA COUNTIES EMPLOYMENT STATUS: FULL-TIME, EXEMPT, BENEFITS-ELIGIBLESUMMARYESSENTIAL REQUIRED JOB DUTIES, ABILITIES, TRAITS
  • Attend all mandatory program or staff meetings and complete training as required
  • Adherence to all GCTD policies and procedures
  • Answering customer questions, providing information, taking and processing orders and addressing complaints
  • Answering phone calls and calling customers and vendors to follow up on appointments and deliveries
  • Compiling, maintaining and updating company records
  • Managing office inventory and working with vendors to ensure the regular supply of office materials
  • Setting up appointments, scheduling meetings, distributing reports and managing the correspondence between the office and external bodies
  • Compiling and maintaining records of office business transactions
  • Operating office equipment including printers, copiers, fax machines and multimedia instruments
  • Basic financial capabilities
  • Complete requisitions, purchase orders and receiving reports following procurement procedures, policies and laws.
  • Assisting with government grants
  • Ability to create and maintain spreadsheets and documents accurately and in a timely manner
  • Follow all government regulations and laws, i.e. local, state, federal.
SUPERVISION
  • Receives direct supervision from the Procurement and Grants Manager
REQUIRED EDUCATION
  • High School Diploma, GED, or extensive experience in lieu of education will be evaluated as it relates to the position. Any education or experience above the required education and job duties of the position are preferred and will be evaluated as it relates to experience
REQUIRED EXPERIENCE
  • Proficient in Outlook, Excel and Word
  • Attention to detail and problem-solving skills
  • English proficiency
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong communication, organizational, analytical, time management, problem-solving, and planning skills
  • Previous experience in a secretarial role.
  • 3 years of in office experience
  • Ability to use work processing applications and document management software with a minimum typing speed of 60 wpm
  • Working knowledge of basic bookkeeping
PREFERRED EDUCATION & EXPERIENCE
  • Any education or experience above the required education and job duties of the position are preferred and will be evaluated as it relates to experience
REQUIRED LICENSURE & CERTIFICATIONS
  • At minimum active and valid vehicle liability insurance
  • No more than 3 moving or safety violations within the past 3 years
  • Requires an active and valid Texas driver's license
WORKING CONDITIONS
  • May require travel to various locations within Brazoria and Galveston Counties
  • Work hours will be assigned based on GCTD business needs and may include varied work hours, weekends, holidays, irregular hours, mornings, evenings, split shifts, and overtime
  • Out of region travel may be required to attend training
  • Work will be performed in the office, field, and or remote settings
SPECIAL PROJECTS
  • Assist directors or managers when requested to complete special projects and complete all assignments within a negotiated time frame
  • Completion of other duties as assigned by supervisor as it relates to the program and position

  • Ability to ascend and descend stairs
  • Ability to bend, twist, kneel, stoop, and or reach for items
  • Ability to operate office equipment
  • Ability to push, pull, and or squat
  • Ability to remain in a stationary position for long periods
  • Ability to transport, adjust, and or move items up to 50 lbs
