Job Summary: Provides administrative support to the Behavioral Health leadership team: Vice President of Behavioral Health and Executive Director of Behavioral Health Services. Manages the department's environment of care and employee compliance requirements.Functions and Duties:
- Organizes and coordinates workflow of the Behavioral Health (BH) department
- Manages department policies/procedures including facilitation of timely updates and communicating revisions intra and interdepartmentally as indicated.
- Maintains interpersonal and communication skills necessary to effectively communicate and work with clients, staff and community agencies.
- Familiar with government, accreditation and other regulations/requirements related to BH.
- Organizes meetings for BH leadership including scheduling, distributing materials, arranging refreshments and recording/transcribing minutes.
- Schedules interviews of potential candidates for BH positions.
- Coordinate new hires with Human Resources, Information Services, the Education Department and other departments as needed.
- Develops new hire orientation schedules in conjunction with the hospital administrative coordinator/scheduler and the Nurse Education Department
- Maintains current address and phone listing of current employees
- Manages employee compliance data to ensure required licensure, employee health, and training remains up to date to regulatory and industry expectations.
- Monitors attendance including tardies; reporting violations of attendance policy to Director/Manager.
- In the absence of the hospital administrative coordinator/scheduler, assumes responsibility in scheduling for the BHU inpatient unit. Ensures adequate workflow and unit 24-hour coverage, and collaborates with BHS Nurse Manager and Charge RN to maintain adequate staffing
- Adheres to staffing and scheduling policy
- Composes letters and memoranda from verbal direction. Proofs materials for errors.
- Prepares and distributes monthly staff meeting minutes within 5 business days.
- Manages operations facilitating compliance with BH environment of care (EOC) expectations: Completes/follows up on work orders.
- Verifies continuous survey readiness through routine EOC rounding
- Initiates and provides ongoing real-time education to team members regarding EOC expectations
- Establishes and maintains EOC compliance documentation
- Represents BH as indicated on EOC and Safety Committees and meetings
- Orders supplies for inpatient and outpatient areas. Demonstrates an awareness of cost containment. and conservation of facility supplies and equipment.
- Coordinate FOID status completing required discharge documentation within the state of Illinois data base.
- Generate Reports specific to Billing, LOS, DOS, Admission and Discharges.
- Enhances professional growth and development through participation in educational programs.
- Follows chain of command resolving any issues or problems identified.
- Maintains an active role in maintaining customer service.
- Establishes collaborative relationship with physicians and other members of the health care team.
- Promotes harmonious relationships among the health care team and internal/external customers.
- Supports and demonstrates the organization mission and philosophy through self-example.
- Manages department quality improvement initiatives including chart auditing and quality assurance report preparation.
- Performs all other duties as assigned
Minimum Qualifications:Education
- High School diploma or its equivalent
Experience
- Minimum of two years' experience in a professional office or healthcare environment
Certifications, Licenses, and Registrations
- CPI and Ukeru Certification (may be obtained during orientation)
- BLS Certification (may be obtained during orientation)
Skills and Abilities
- Must be able to communicate orally and in writing, in person and telephonically
- Familiar with medical terminology
- Working knowledge of Microsoft Office Suite (Word, PowerPoint, Excel)
- Strong computer and organizational skills
- Ability to operate standard office equipment
- Ability to work with minimum supervision
