Development Administrative Coordinator - Affordable Housing DISTINGUISHING CHARACTERISTICSThis role coordinates the efficient management of administrative functions in Syracuse Housing Authority's (SHA) affordable housing development. Working under SHA's Director of Development, responsibilities will include expertly managing calendars, scheduling appointments, and coordinating meetings to facilitate effective collaboration among teams. Handling phone calls, emails, and correspondence will be integral to maintaining efficient operations. Additional duties include document preparation, organization, and presentation development, ensuring that meetings are well-structured with coordinated agendas and presentations, tracking project timelines, budgets, and deliverables, drafting internal and external communication, supporting the decision-making processes, and other duties as assigned. Administrative Coordinator - Affordable Housing Development (Civil Service Title: Administrative Analyst I) is an Open-Competitive Onondaga County Civil Service position and if hired, continued employment will be contingent on qualifying for, successfully passing, and reachability off the applicable Onondaga County Civil Service Exam.After a conditional offer of employment, a favorable background check, verification of education and work history, and illegal drug screening must be completed prior to starting employment. Proof of identity and legal work authorization will also be required.Salary: $44,756 - $57,098 DOETYPICAL WORK ACTIVITIESManage calendars, schedule appointments, and coordinate meetings.Handle phone calls, emails, and correspondencePrepare and organize documents, reports, and presentations.Coordinate and prepare materials for meetings, including agendas and presentations.Take meeting minutes and follow up on action items.Collaborate with cross-functional teams to ensure project milestones are met.Track project timelines, budgets, and deliverables.Conduct research, potential development opportunities, and regulatory requirements.Analyze data and prepare reports to support decision-making processes.Serve as a liaison between staff and internal/external stakeholders.Draft and edit correspondence, memos, and other written communications.Assist in budget preparation and monitoring for projects. Process invoices, track expenses, and ensure compliance with policies and procedures.Maintain accurate and organized records of all development activities.Ensure compliance with relevant regulations, policies, and procedures.FULL PERFORMANCE, KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICSPrevious experience in administrative support or project coordination, preferably in real estate development.Strong organizational and time-management skills with the ability to multitask and prioritize.Excellent communication skills, both written and verbal.Proficient in Microsoft Office Suite and other project management software Working knowledge of effective organization and management principles and practicesWorking knowledge of the techniques and methods used in administrative analysis.Ability to gather and organize pertinent data.Ability to effectively utilize the techniques of administrative analysis.Ability to recognize implications and applications of organizational and management principles in the analysis of problem areas.Ability to identify, recognize, and develop solutions to management and organizational problems.Ability to prepare detailed written reports and procedures.Ability to support recommendations both orally and in writing to supervisory and applicable staff.MINIMUM QUALIFICATIONSOpen Competitive:
Graduation from a regionally accredited college or university or one accredited by the New York State Board of Regents to grant degrees with a baccalaureate degree; or,Four (4) years of paraprofessional or professional level work experience, or its part-time equivalent.An equivalent combination of training and experience as defined by the limits of (A) and (B) above.Special Requirement: Local travel to meetings and job sites may be required. May also have to attend periodic after-hours meetings.
