Bachelor's Degree in business, communications or related field. Four years relevant administrative assistant experience or experience in a related field. Experience in Higher Education and with Banner and PeopleAdmin is preferred. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position
Performs advanced and complex administrative support duties for the AVP of People and Procurement Operations (AVP) and is responsible for business operations within People and Procurement Operations (PPO).
Primary Responsibilities
Performs administrative support duties for the AVP, working closely to provide efficient, confidential, and accurate management of the AVP's calendar, drafting of routine and special correspondence, preparation/submission of reports and presentations, monitoring budget and expenditures, and handles other business communications and functions in support of the administrator. Determines work priorities, evaluates work in progress and ensures PPO meets compliance deadlines. Acts as a liaison with and provides business support for PPO institutional departments providing tracking, monitoring, updating, and maintenance of policies, various State compliance requirements, purchasing, travel requests and reimbursements, budgetary issues, supply inventory, real estate and tenant communications, maintaining records, and facilitating a variety of personnel actions. Manages HR reception and provides information and services to both internal and external requestors. Oversees website and administers various employee programs/benefits and financial resources. Plans, arranges, and coordinates PPO meetings and development opportunities. Orders and maintains supply inventory. Conducts research for preparation and dissemination of information. Troubleshoots and engages in the work of staffing/compensation, benefits/onboarding, employee relations and leaves, professional development, and other areas as assigned. Compiles statistical data, prepares various written summaries concerning department activities. Coordinates, compiles, and evaluates data received from a variety of sources relating to the effectiveness of the assigned activity, program, or project. Responds to Open Records requests on behalf of People & Procurement Operations Serves as liaison and maintains contacts with other University departments, students, faculty, staff, alumni, government officials, and distinguished guests. Directs assignments of clerical staff and determines work priorities and evaluates progress. Supervises and directs the work of other clerical support and student workers. Performs other related duties as assigned.
Other Specifications
Contacts include vendors, off campus agencies; other university departments and faculty, administrators, staff, and student employees. Performs research and prepares analytical reports, together with recommendations, on assigned subjects. Position requires initiative, confidentiality, attention to detail and accuracy, and excellent communication, time management, and supervisory skills. Position may require travel to conferences.
Up to 40% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
