The Corporate Affairs department is looking for a motivated, self-starter to provide administrative and project support. The ideal candidate needs to be extremely organized, detail-oriented, possess the ability to learn quickly, work independently and have excellent time management skills. This role requires the ability to work within a fast-paced environment, manage multiple stakeholders from different functions and be able to adapt to competing and shifting priorities.
General responsibilities include calendar management, administrative and operational support for the SVP and project management, meeting planning/logistics/communication, and department budget management.
The role reports to the SVP of Corporate Affairs.
Responsibilities include:
* Budget and Purchase Order Management
* Corporate Affairs budget tracking and quarterly reporting
* Process, execute and track Purchase Orders (PO), including working with Procurement, AP/Finance and other related departments.
* Reconcile monthly departmental Purchasing card
* Onboard new vendors through Vendor Maintenance, Anti-Bribery Anti-Corruption (ABAC), etc.
* Execute and track Confidentiality Disclosure Agreements (CDA) and Master Service Agreements (MSA) through iCERTIS system
* Ability to utilize Qliksense
* Administrative Support
* SVP administrative, scheduling, and executive support
* Assists select department employees with travel arrangements, conference registration, and expense reporting
* Onboard new hires
* Support for select large scale/complex meetings
* Serve as a key resource to provide information and answer inquiries regarding department operations and company policies and procedures
* Event Logistics
* Helps plan, coordinate, and execute departmental meetings, including all necessary logistics
* Support company wide and department wide events
* Day for Doing Good (Company Volunteer Event)
* Employee forums
* Corporate Affairs mid and end of year meetings
* Corporate Affairs quarterly meetings
* Volunteer of the Year event
* Third - party meeting management
* Coordination and scheduling of guest speakers/visitors, including travel, and meeting coordination
This role may be for you if:
* Experience managing department level budgets
* Advanced expertise in Word, Excel, PowerPoint, Outlook, and SharePoint experience
* Excellent organizational skills with demonstrated attention to detail.
* Ability to prioritize and multitask.
* Ability to work across various Knowledge of and strong ability to manage calendaring function of fast-paced department.
* Ability to interact with all levels of employees and maintain confidentiality.
* Ability to utilize a basic understanding of department priorities and applying that knowledge to actively resolve conflicts.
* Build and maintain positive, professional relationships with all levels of department staff, employees, and external partners to ensure positive experience, facilitate communication, and successful task completion.
In order to be considered qualified for this role, you must have a minimum of 2 -4 years of relevant administrative experience in a fast-paced environment.
