Reporting to the Director of Academic Compliance & Quality (ACQ), the Administrative Coordinator ensures that Academic Affairs & Workforce Development (AAWD) areas, including academic divisions and departments, achieve compliant operations and deliver high-quality programs and services. Position requires strong organization and computer skills. Must be service-oriented with an ability to work with diverse groups of people in multifaceted workplace. Must have strong communication skills and ability to maintain a positive and productive work environment.
Typical Schedule: 8:00 a.m. - 5:00 p.m. Monday - Friday
Responsibilities/Duties
* Prepare faculty contracts, submit contract adjustments, and compile data ensuring accuracy, compliance, and completion.
* Coordinate faculty onboarding to complete hiring documents, facilitate the faculty credentialing process, and orient new members to the campus.
* Serve as liaison for adjunct faculty to acquire supplies, textbooks, keys, equipment, etc.
* Process purchasing requests for AAWD divisions and departments using the NC eProcurement system.
* Generate work orders for equipment/building repairs, event set-up, and technology requests.
* Maintain inventory of supplies, complete equipment transfers, and perform annual inventory processes for divisions.
* Assist with the entry of curriculum course schedules and classroom reservations.
* Coordinate classroom utilization, including classroom set-up and scheduling curriculum usage in resource management software.
* Assist in the planning, coordination, and implementation of AAWD special events, faculty meetings, advisory meetings, and department & division meetings (e.g., purchase supplies, complete work orders, assist with event set-up, take minutes, etc.) and represent the division at college-wide events.
* Serve as recorder at department and division meetings, curriculum conversations activities, and advisory board meetings.
* Co-administer AAWD SharePoint site to add events, files, and media.
Hiring Range ($2,977 - 3,225/monthly)
Minimum Qualifications
* Associate Degree in Business, Office Systems Administration, or related field.
Preferred Qualifications
* Prefer previous experience within NC Community College System, Colleague, tools used for course scheduling and data analysis, and Microsoft Office programs (Word, Excel, Outlook, OneDrive, and/or SharePoint).
