ArkeaBio is using innovative vaccine technologies to create solutions to reduce the on-farm methane emissions responsible for 6% of global GHG emissions. ArkeaBio technology will be integrated into proven delivery systems and farming practices to safely reduce global methane emissions from multiple ruminant species across a variety of geographies and agronomic systems.Job SummaryThe Administrative Lead will play a vital role in supporting ArkeaBio's office management functions. This individual will administer ArkeaBio's day-to-day operations such as managing the onsite office, assisting scheduling and meeting management, as well as liaising with HR and IT to ensure effective coordination of priorities and deliverables. This individual will have a keen ability to multitask, exceptional communication skills, and a strong sense of initiative. Key ResponsibilitiesReporting to the CEO, the Administrative Lead will play a vital role in supporting ArkeaBio's CEO and broader team by overseeing ArkeaBio's day-to-day office management. This requires a detailed, highly-organized, liaison-focused individual who can work collaboratively and independently. A successful Administrative Lead will:
  • Assist in preparing and editing correspondence, reports, and presentations
  • Manage incoming and outgoing mail; distributing it electronically to applicable team members
  • Coordinate and schedule company-wide meetings, events, travel, and conferences
  • Oversee executive travel, expense management, and meeting coordination
  • Manage day-to-day office operations, ensuring a clean, organized, well-stocked and productive work environment
  • Support onboarding and offboarding activities in partnership with HR, Finance, & IT
  • Manage office supplies and equipment inventory, anticipating needs and placing orders as necessary for equipment, snacks, deliveries, catering, etc.
  • Act as a primary point of contact for internal team members, landlords, and external vendors for all on site office related matters
Minimum Qualifications / Skills
  • Bachelor's degree in business administration, office management, or a related field (preferred)
  • 4+ years of administrative experience with 2+ years of experience supporting the executive level is strongly preferred or proven experience as an executive assistant, office manager, or in a similar role
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively
  • Strong attention to detail and accuracy, ensuring high-quality deliverables
  • Curiosity with a passion for troubleshooting and taking initiative
  • Exhibit flexibility and willingness to work closely with all levels within the organization on all all administrative and office management related tasks and requests
Preferred Qualifications / Skills
  • Proficient in Google Suite, Microsoft Suite, Adobe, Zoom, or any other relevant CRM or design software
  • Experience with travel and calendar management/coordination
  • Previous experience in the biotech or pharmaceutical industry is a plus
