Reference #: 4656364 THE POSITION The Bureau of Management Services is seeking an Administrative Officer 2 to serve as one of two Grants Management Officers for the Pennsylvania Department of Education (PDE), Division of Grant Management and the Non-Public Information System. DESCRIPTION OF WORK In this position, you will share responsibility for administrative review, approval, and oversight of all grant contracts issued by the agency. Your work will ensure the routing and approval processes adhere to rules, regulations, management practices, and Department policies. This includes analyzing current process and assisting in the development of new, efficient procedures in accordance with management directives and other guidance to streamline and create efficiencies throughout the agency. You will also serve as the agency liaison with external and internal offices, conducting meetings with other agencies, schools, and the public as well as advising staff on grant processes, requirements, and documentation. This position also trains agency staff on grant processes and procedures and provides staff with direction on federal and state laws and regulations to guide the grants process. Other responsibilities include entering funds commitments into the accounting system and working closely with the PDE budget team to ensure accuracy. Effective communication skills are essential to successfully establish and maintain cooperative working relationships and sustain the high-level of confidentiality and professionalism necessary for success in this role. Work Schedule and Additional Information: Full-time employment Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch. Scheduled hours/lunch times are flexible. Telework: You may have the opportunity to work from home (telework) part-time. This position currently works in the office one day per week, Thursdays. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. Salary:In some cases, the starting salary may be non-negotiable. REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY QUALIFICATIONS Minimum Experience and Training Requirements: One year as an Administrative Officer 1; or Three years of experience in progressively responsible and varied office management or staff work, including experience in personnel management, budgeting, or procurement; and a bachelor's degree; or Any equivalent combination of experience and training.
