Under the direct supervision of the Department of Ophthalmology Administrator, the Administrative Program Coordinator provides administrative and clerical support as assigned. Responsibilities include, but are not limited to: coordinating all medical student rotations within the Department of Ophthalmology, interacting with patients, taking calls and making appointments for department run clinical sites including but not limited to the Fertel Clinic and the Optical Shop, answering the phone, scheduling meetings, maintaining appointment calendars, and making travel arrangements for assigned faculty members; assisting faculty with project specific tasks; processing invoices and tracking expenditures; maintaining personnel and department files. Provides backup for other staff in the department, including the Optical Shop specialist. Proficient use of computers and electronic office machines

* Working knowledge of Outlook and Microsoft Office software, including Word, Excel, and PowerPoint

* Excellent written and verbal communication skills

* Ability to maintain confidentiality and discretion

* Excellent analytical, organizational, and interpersonal skills

* Ability to prioritize and organize activities and multiple projects simultaneously

* Ability to work successfully under budgetary and deadline requirements

* Ability to work as part of a professional team and to collaborate effectively with individuals within the University as well as with outside contractors

REQUIRED BACKGROUND CHECK, PHYSICAL, AND DRUG SCREENING FOR INCUMBENTS WHO HAVE CONTACT OR EXPOSURE TO ANIMALS OR ANIMAL TISSUES:

Selected candidates must complete and pass a background check and an occupational health screening as a condition of employment. For identified jobs, a drug screening will also be required. The background investigation, required occupational health screening, and any required drug screening will be conducted after a conditional employment offer has been extended.

* High School Diploma or equivalent

* Two years' administrative clerical or relevant experience

* Ophthalmological related experience or training

* Academic or healthcare background, preferable in a medical school
